    The Administrative Assistant will be responsible for providing a broad range of administrative support to ensure the successful administrative functioning of AAN. The position will be supervised by the Executive Director.

    Responsibilities

    • Welcome visitors, answer inquiries, and ensure a positive office atmosphere.

    • Manage and maintain confidential files and databases.

    • Handle communication tasks, including managing emails and phone calls.

    • Schedule appointments, meetings, and manage reservations.

    • Oversee incoming mail and deliveries, and manage office supplies inventory.

    • Handle basic bookkeeping, invoice processing, and payroll information transmission.

    • Process and log bank deposits, manage earned income tracking, and handle accounts receivable payments.

    • Assist in organizing travel arrangements and event planning.

    • Operate office equipment and manage software for administrative tasks.

    • Manage time sheets, leave requests, and payroll benefits.

    • Coordinate with IT support, building management, and handle office event planning.

    • Ensure compliance with financial and legal standards for grants.

    • Develop and maintain office policies and procedures.

    • Collaborate with various teams, departments, and outside consultants regarding fiscal management, maintaining confidentiality and professionalism.

    • Assist in other office and administrative tasks as needed

    Required Qualifications

    • Proven organizational skills with a keen eye for detail.

    • Excellent interpersonal abilities, with a positive attitude towards teamwork.

    • Strong communication skills, both verbal and written.

    • Proficiency in Microsoft Office and general computer literacy.

    • Ability to work independently, prioritize tasks, and be a proactive self-starter.

    • Reliability and a consistent work ethic.

    • Multilingual abilities in Amharic, French, Haitian Creole, Spanish, or Tigrinya are advantageous.

    Experience Required

    • 2 years or more related experience

    • Minimum: High School Diploma

    • Preferred: Associates Degree or Higher
